Privacy Policy
Privacy Policy
ProEnrollment LLC is committed to protecting the privacy and security of the provider and practice information entrusted to us. We handle all data in compliance with HIPAA and applicable privacy law, using AES-256 encryption, US-based servers, and signed Business Associate Agreements with every client. This page summarizes our data practices; contact info@proenrollment.com with questions.
What Information We Collect
To perform credentialing and payer enrollment, we collect professional and practice information you provide directly: name, National Provider Identifier (NPI), state license numbers, DEA registration, board certification records, malpractice insurance details, education and work history, practice addresses, and tax identification numbers. We also collect standard website analytics data (pages viewed, referring source, approximate region) through Google Analytics. We do not collect patient health information (PHI) in the ordinary course of credentialing work.
How We Use Your Information
Provider information is used solely to prepare, submit, and follow up on credentialing and enrollment applications with the payers you have authorized us to contact — commercial insurers, Medicare Administrative Contractors, state Medicaid programs, managed behavioral health organizations, and credentialing databases such as CAQH ProView and NPPES. We do not sell, rent, or license provider data to third parties, and we do not use your information for advertising or marketing to other parties.
Who We Share Information With
We share your information only with: (1) the payers and credentialing bodies you authorize us to submit applications to; (2) CAQH, NPPES, PECOS, and equivalent verification systems required by those payers; and (3) subprocessors under written confidentiality and BAA obligations where technically necessary (for example, secure document storage). We do not share provider information with data brokers, lead generators, or marketing companies under any circumstance.
How We Protect Your Information
Data is encrypted in transit (TLS 1.2 or higher) and at rest (AES-256). Access is restricted to the credentialing specialists assigned to your account on a least-privilege basis. We execute a HIPAA Business Associate Agreement with every client before work begins. Documents are retained only for the period necessary to complete credentialing and support re-credentialing cycles, after which they are securely destroyed on request.
Your Rights and Choices
You may request a copy of the information we hold about you, request corrections, request deletion after your engagement concludes, or withdraw authorization for us to submit to specific payers at any time. Requests are honored within 30 days. Email info@proenrollment.com or call (945) 307-6616. Website analytics can be declined through your browser's Do Not Track setting or standard cookie controls.
Cookies and Website Analytics
Our website uses Google Analytics to understand aggregate traffic patterns. These cookies do not collect provider credentialing data and are not tied to your engagement file. Disabling them does not affect your ability to use the site or our services.
